In-Meeting Features: Detailed Guide

Overview

The In-Meeting page in Mili offers a range of features that allow users to manage meetings seamlessly in real-time. From starting a meeting, pausing it, sharing it with colleagues, to customizing meeting agendas and notes, every part of the meeting can be tailored to ensure a smooth workflow.


1. Pausing and Resuming a Meeting

Pausing a Meeting

  • If you need to take a break or allow participants to discuss personal matters, you can pause the meeting.

  • Step 1: Click the Pause button.

  • Result: The meeting is temporarily stopped, and Mili will not record during this time. This is useful when no important details need to be captured during breaks or private discussions.

Resuming a Meeting

  • Step 1: To resume after a pause, click the Resume button.

  • Result: Mili will restart note-taking and continue processing the meeting as before. All actions are timestamped to ensure continuity.


2. Finishing a Meeting

Finishing the Meeting

  1. Step 1: Click Finish to end the meeting.

  2. Step 2: Once finished, Mili will automatically start processing the meeting data.

  3. Step 3: You can now close the meeting window. There’s no need for any further action from you; Mili will handle everything from here, including generating the meeting notes and summaries.

Result:

  • Mili will process and prepare the meeting notes, summarizing key moments, action items, and outcomes. These will be available for review or editing after the meeting.


3. Scratchpad: Personal and Collaborative Notepad

Overview

The Scratchpad is a versatile tool that allows you to take notes during the meeting, either for personal use or as a collaborative space for your team. It’s an AI-free zone, meaning no data from the scratchpad will be processed by Mili’s AI systems, providing a secure place for sensitive information.

Personal Notes

  • Use the scratchpad to jot down quick thoughts or personal notes, such as:

    • Client preferences

    • Follow-up action items

    • Key points for discussion

  • No AI Processing: Notes in the scratchpad are not processed by Mili, meaning any PII or sensitive information can be stored here securely.

Collaborative Notes

  • Share the scratchpad with team members during the meeting. This allows for:

    • Real-time collaboration: Teammates can add comments or questions without interrupting the meeting flow.

    • Private discussions: Use the scratchpad to discuss internal thoughts while the meeting continues.

Redacting PII

  • If you need to note any PII (Personally Identifiable Information) during the meeting, it’s best to use the scratchpad to ensure that the information is kept private and not processed by the AI.


4. Sharing a Meeting

Sharing the Meeting with Colleagues

  1. Step 1: During or after the meeting, click the Share button.

  2. Step 2: Enter the email addresses of the colleagues you want to share the meeting with.

  3. Step 3: Assign roles to the new participants:

    • Admin: Full access to the meeting, including the ability to delete it.

    • Editor: Can edit the meeting details and notes.

    • Viewer: Can only view the meeting but not make any changes.


5. Editing and Privacy Options

  1. Editing a Meeting:

    • Click on the three dots menu and select Edit to modify the meeting title, participants, or template.

    • This allows you to regenerate the notes or adjust details after the meeting has started.

  2. Making a Meeting Private:

    • If you need to limit access, click on Make Private. Only the existing participants will have access to the meeting after it’s marked private.

  3. Deleting a Meeting:

    • Meetings can be deleted from the three dots menu, ensuring that no further action can be taken on the meeting.


6. Uploading Audio Recordings for Notes

Uploading an Audio File

  1. Step 1: Before or during the meeting, click the small arrow beside the Start button to upload an audio recording of your meeting.

  2. Step 2: Once uploaded, Mili will process the audio and generate meeting notes based on the recording.

  • This is particularly useful if you forget to start the meeting or need to import a pre-recorded session.


6. Notes & Meeting Preparation Tab

Preparing for a Meeting

  1. Mili automatically pulls in data from previous meetings you’ve had with the client to generate an agenda.

  2. Generate Agenda: Click on Generate Agenda to view a proposed meeting structure based on the client’s history.

  3. Mili can also pull data from your CRM to enrich the meeting agenda and prep.

Detailed Notes

  1. You can view Detailed notes in chronological order, allowing for detailed tracking of meeting discussions.

  2. Editing detailed Notes: You have the ability to edit notes directly within the meeting screen.


7. Feedback on Notes and Emails

Providing Feedback

  1. Step 1: After the meeting, use the three stars button to rate the notes generated by Mili.

  2. Step 2: You can leave comments to provide feedback on the notes, whether they were satisfactory or need improvement.

    • 3 stars: Excellent, love the notes.

    • 1 star: Notes need more work.

Result:

Feedback is directly sent to Mili team, who use it to improve the service.
