This article outlines the steps to create and start different ways to run meetings in Mili, including the options for Instant Meetings and Creating Custom Meetings. Both are designed for ad-hoc meetings, with flexibility for adding participants and templates.

Steps

1. Creating an Instant Meeting

  • Step 1: Click on New Meeting.

  • Step 2: Select Instant Meeting from the dropdown menu.

  • Result: The meeting starts immediately, but no participants are predefined. Mili will recognize the speaker or participants during the meeting, only when explicitly stated. This option is perfect for ad-hoc meetings where you need to get started without any delay.

    • Participants can be added after the meeting has started or ended, allowing you to move quickly.



2. Creating a Calendar-Based Instant Meeting

  • Step 1: Mili syncs with your calendar and pulls in upcoming meetings.

  • Step 2: On the Home Page, you’ll see meetings listed that have been pulled from your calendar.

  • Step 3: Click on the meeting and select Start.

  • Result: This meeting will include participants and the meeting title, as pulled from your calendar, and it will automatically start with the default meeting template. This helps start meetings that are populated from your calendar quickly. Participants can be added after the meeting has started or ended, allowing you to move quickly.



3. Creating a Custom Meeting

  • Step 1: Click on New Meeting.

  • Step 2: Select Create Meeting.

  • Step 3: Choose the meeting template from the available options (this can be customized).

  • Step 4: Manually input meeting details:

    • Participants (advisor and client).

    • Meeting title (optional).

  • Step 5: Update if the meeting is Happening Now or Happening Later.

  • Step 6: Choose if Public or Private. Public meetings are visible to all meeting participants within the firm only. Private is only available to the one who makes it Private

  • Step 7: Update the Title if required

  • Step 8: Click on Create Meeting

Result: This meeting allows you to set up everything before the meeting starts, including selecting a template and adding participants. Unlike Instant Meetings, which start without predefined participants, this option provides more control upfront for customized ad-hoc meetings.


4. Joining a Meeting

  • Step 1: For online meetings (e.g., Zoom, Google Meet), click on the Join & Start button.

  • Step 2: Mili will show the meeting link, which you can use to join the meeting directly from the app.

Key Differences Between Meeting Types

  • Instant Meeting:

    • Starts immediately, with no pre-defined participants.

    • Ad-hoc, perfect for spontaneous meetings.

    • Participants can be added after the meeting has started.

    • No template selection upfront. Starts with a default General Purpose template. Notes can be regenerated once the meeting is complete.

  • Calendar Instant Meeting:

    • Similar to Instant Meeting, but participants and meeting data are pre-populated from your calendar.

    • Starts instantly with pre-selected information from your calendar.

    • No template selection upfront. Starts with a default General Purpose template. Notes can be regenerated once the meeting is complete.

  • Custom Meeting:

    • Requires manual input of participants and meeting title before the meeting starts.

    • Allows you to choose templates before the meeting begins, providing more control.

    • Best for more structured ad-hoc meetings where preparation is needed.


FAQs

  • Q: Can I add participants after starting a meeting?
    A: Yes, you can add participants even after the meeting has started and the Instant Calendar meeting as well. Although, participants can be added once the meeting is done.

  • Q: How can I customize the meeting template for my firm?
    A: Currently, you can write to your CSM and they will you set up your custom meeting templates. We will soon have this feature live for the Firm admins to set up on their own.

  • Q: Can I use Mili if I use Zoom, Meet or Teams?
    A: Yes, you can use Mili irrespective of the meeting platform that you use as well as for in-person meetings. As Mili runs in the background, and is meeting platform agnostic in nature

  • Q: Can my clients see the meetings or notes?
    A: No, the clients do not have access to Mili or your Mili notes.

  • Q: Can I run an instant meeting while I am on a phone call ?
    A: No, Android and Apple do not let any other app access your microphone while on a phone call. So this method would not work.

  • Q: How do I get notes from my phone call meeting then?
    A: There are a few ways to do this:


    1. When you are in the office, you can run Mili on your computer (any meeting type) and have your cell phone on loudspeaker. This will help Mili capture the notes exactly like it would in an online meeting

    2. Use the Call-conferencing feature that will help Mili join your phone call as a
    participant and generate notes once the meeting is done.
